About the Position:

The Finance Assistant works with the Finance Director on a wide range of duties and tasks including Accounts Payable, Accounts Receivable, Payroll, tax reporting and compliance, cost allocations, audits, expense reports, cash flow planning, correspondence and recordkeeping.​

SUPERVISOR: Finance Director

 

LOCATION:   This position will be based in NeighborGood Partners’ Dover, DE office.

 

SUMMARY OF DUTIES AND RESPONSIBILITIES:

Finance Office Duties

  • Responsible for preparing requests for payment and entering accounts payable. Prepare checks for all transactions. Assembles copies of voucher/invoices/purchase orders.

  • Responsible for entering cash receipts and preparing bank deposits.

  • Assists with payroll, print payroll reports, back up forms. Prepare payroll tax and benefit deposits in accordance with guidelines established by relevant agencies.

  • Prepare year end W2-s forms and 1099’s and submit required transmittals and forms to IRS.

  • Prepare cost allocation worksheets for each pay period.

  • Prepare actual cash flow reports monthly.

  • Responsible for filing all correspondence, reports, accounts payable, and cash receipts.

  • Responsible for verifying cash receipts against check register in the general ledger.

  • Verify accuracy of travel expense reports, vendor invoices, and receipt of purchases.

  • Prepare monthly and quarterly payment vouchers as necessary.

  • Assist with preparation of IRS Form 990 and Negotiated Indirect Cost Recovery Agreement

  • Serve as back up for Finance Director.

  • Suggest and implement changes in financial policies, procedures, recordkeeping and storage, including electronic document storage.

  • Maintain a depreciation schedule of all organizational fixed assets, equipment and property.

  • Assist the Finance Director with audits and financial reports.

  • Enter transactions into the Accounting Software on a timely basis.

 

Other Tasks as Assigned

  • Fulfill other tasks and special projects as assigned by the Finance or Executive Director.

 

General Responsibilities

  • Position may require use of personal vehicle for localized travel; employee must maintain a valid driver’s license and provide proof of automobile insurance.

  • Maintain working knowledge of appropriate IRS regulations and OMB federal circulars and regulations.

  • Abide by and comply with NeighborGood Partners’ Personnel Manual and Code of Ethics.

  • Maintain professional quality written communication via correspondence, memos, emails and reports.

  • Maintain professional quality oral communications.

  • Work individually with diligence and with Finance/Administrative team to accomplish established work plan and objectives.

 

IDEAL QUALIFICATIONS:

  • Bachelor’s degree in an appropriate field or Associate’s degree with three (3) years of equivalent work experience with a nonprofit, social service, or government agency.

  • Minimum of two (2) years of accounting or bookkeeping related experience, preferably with some training in basic Accounting.

  • Excellent computer skills, including word processing, spreadsheet, and database management. Ability to learn and utilize MIP/SAGE accounting software.

  • Proven interpersonal, organizational, team and customer service skills.

  • Excellent proofing and editing skills.

  • Excellent mathematical skills.
